Your first conference, step by step

From the email that created your account to your last meeting of the evening.

1. Set your password

The office created your account and you were emailed a link to choose a password. If you cannot find it, go to the sign-in page and use Forgot password with your school email — that sends a fresh link. Once you are in, the sidebar on the left is everything you need.

2. Check your classes

My Classes shows the classes you lead or assist and how many students are in each. If a class is missing or the count looks wrong, tell the office — they manage rosters. You cannot be booked for a class you do not lead.

3. Look at the conference

When the office creates a conference that includes one of your classes, it appears under Conferences. Open Manage Slots. You will see:

  • how many students you have across your classes, and how many slots that needs;
  • every bookable time as a row, with Available / Booked / Unavailable;
  • a list of students without a booking once families start booking.

You can do this while the conference is still a draft; your changes are kept when it is published.

4. Block the times you cannot make

Use Block a stretch of time for a break or a commitment — pick From and To and press Block range — or block single rows with Block. Blocked times disappear from what parents can book. Booked times are never affected, so do this early. Reopen puts a time back.

The banner at the top tells you whether you still have enough open slots for every family; if not, unblock some or ask the office to widen the hours.

5. Watch the bookings arrive

Once published, parents book. My Bookings lists each meeting with the student, family and parents; open one to add private notes for yourself (visible to school staff, never to parents) or to add a colleague who should be in the call. The dashboard shows the sign-up rate per class; Manage Slots lists who has not booked so you can mention it at pickup.

6. Before the evening

Open Meeting Room once and press Join Meeting on any booking, then leave. Your browser will ask for camera and microphone permission — better to answer that now than at 5:00 PM with a parent waiting.

7. On the evening

Open Meeting Room. Your bookings are listed in time order. When a parent has arrived, their booking shows Parent is in the room. Press Join Meeting; the video opens on the right. When you are done, leave the call and press Mark Complete. If a family never turns up, Mark No-Show.

If the office turned on the time clock, a countdown shows how long is left and the call ends when time is up. If they allowed it, Add 1 minute buys a little more.

8. Afterwards

Nothing more to do: completed and no-show meetings are recorded, and the conference moves to your past list the next day.
