Start a new school year
The once-a-year reset — archive last year's classes and conferences, keep everyone's accounts, and load the new roster.
On this page
Every September the classes change but the families mostly do not. Start a new school year does the reset in one step so you do not have to delete anything by hand.
What it does
On the Organization page, the School year card shows the current year and a Start a new school year button. Starting a new year:
- archives every class (they stay attached to old conferences for history, but disappear from lists)
- clears every class roster and every teacher's class assignments
- archives every finished or cancelled conference
- keeps every student, family, parent account and staff account
- records the new year's name (for example "2026-27")
Nothing is deleted. You are asked to type START NEW YEAR to confirm, and the button is disabled while any conference is still upcoming — cancel it or let it finish first.
Then load the new roster
- Go to Students and import the new roster — either Import from SIS (the OneRoster bundle from your student information system) or Import CSV (see Import students). Students already in the system are matched by ID or name and simply enrolled in their new classes; new students are created.
- Go to Staff and either Import CSV with each teacher's classes, or assign lead teachers on the Classes page. A class needs a lead teacher before it can join a conference.
- Back on Organization, the School year card now says how many students are in no class — the ones who graduated or moved. Remove deletes those who have no booking history; students with past bookings are kept so old reports still add up.
Tips
- Do it after the last spring conference's report has been read, and before you import the fall roster.
- If you use the same class names every year ("3rd Grade - Room 101"), the import creates fresh classes with those names for the new year; the old ones stay archived underneath.
